Privacy Policy

1. Overview

This Privacy Policy explains how Smart Cadence ("we", "us", or "our") collects, uses, and protects information in connection with the Smart Cadence service at smartcadence.app and app.smartcadence.app (the "Service").

It covers two kinds of information: data about you as a customer of Smart Cadence, and data you bring into the Service to run your outreach (such as your contacts and the replies you receive).

2. Information we collect

Account information: your name, email address, organization, and authentication details when you create an account.

Billing information: processed by our payment provider; we store limited records such as plan and billing status, not full card numbers.

Connected provider data: when you connect Mailgun, Postmark, Gmail, or other inboxes, we access the credentials, messages, and events needed to send on your behalf and to capture replies.

Customer content: contacts, templates, sequences, messages, replies, suppression lists, and related data you upload or generate in the Service.

Usage and device data: log data, IP address, browser type, and product interactions used to operate, secure, and improve the Service.

3. How we use information

To provide and operate the Service: scheduling and pacing sends, managing mailboxes and caps, capturing and classifying replies, and producing analytics.

To power AI features, such as tagging replies by intent and drafting suggested responses from information you provide. These features operate on your content to serve your account.

To maintain deliverability and safety, including suppression, bounce and complaint handling, and abuse prevention.

To communicate with you about your account, security, and product updates, and to provide support.

To comply with legal obligations and enforce our Terms.

4. AI processing

Reply classification and draft generation are performed to deliver the features you have enabled. Drafts for leads that appear ready to act are surfaced to you for review rather than sent automatically. We do not use your customer content to train third-party foundation models for unrelated purposes.

5. How we share information

Service providers: we use vetted subprocessors (for example, hosting, email delivery, and AI inference providers) who process data on our behalf under contractual obligations.

Email providers you connect: messages you send are transmitted through the providers you authorize, subject to their own policies.

Legal and safety: we may disclose information where required by law or to protect rights, safety, and the integrity of the Service.

Business transfers: information may be transferred as part of a merger, acquisition, or sale of assets, subject to this Policy.

We do not sell your personal information.

6. Data retention

We retain information for as long as your account is active and as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. You can delete content within the Service, and you may request deletion of your account data as described below.

7. Security

We use technical and organizational measures designed to protect information, including encryption in transit, access controls, and monitoring. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Your rights

Depending on where you live, you may have rights to access, correct, export, or delete your personal data, and to object to or restrict certain processing. To exercise these rights, contact us at privacy@smartcadence.app.

If you are a recipient of email sent through the Service and wish to opt out, please use the unsubscribe option in the message or contact the sender directly; we also honor suppression based on unsubscribes and bounces.

9. International transfers

We may process and store information in countries other than your own. Where required, we use appropriate safeguards for international transfers of personal data.

10. Children

The Service is not directed to children under 18, and we do not knowingly collect personal information from them.

11. Changes to this Policy

We may update this Policy from time to time. We will update the date above and, where appropriate, provide additional notice. Your continued use of the Service after changes take effect constitutes acceptance.
